Overview
As an Administrative Assistant at Frederic Roofing, you are an essential part of our office operations. Your primary responsibilities will include managing various administrative tasks to ensure the smooth functioning of our office. This role demands excellent organizational skills, attention to detail, and a positive attitude.
Responsibilities
Daily Tasks:
- Answer and screen all incoming calls, providing a professional and friendly first point of contact.
- Greet all incoming customers/visitors that come into the office and assist them as needed.
- Check the overnight voicemail messages and promptly return calls. Forward voicemails to the appropriate team members.
- Monitor and respond to emails related to marketing and website requests.
- Create estimate request forms for incoming leads.
- Type proposals/correspondence/forms for estimators and other office employees.
- Assist with setting up jobs that have been sent into the office.
- Contact customers about upcoming work.
- Contact customers for overdue invoices; assist with collections.
- Help estimators with potential and existing customers.
- Update calendars and schedule meetings.
Occasional Tasks:
- Assist with invoicing as needed (backup)
- Drop off mail at the post office as needed (backup).
- Prepare and send all certified mail.
- Clean and organize proposal drawers, accounts payable drawers and job sack drawers/boxes.
- Housekeeping (including, but not limited to) – put away office supply orders, keep refrigerator filled with water bottles, empty trash can in kitchen area as needed.

- Effective multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service-oriented approach.
- High school diploma. Additional certification in Office Management is a plus.
- Proficient with office equipment including desktop computer, printer, postage machine and fax machine.
Availability to work from 8 AM to 5 PM in the office with a one-hour lunch break.

- $20-25 an hour (dependent on experience).
